How Portavi reads your Planner plans
Nothing to restructure: each plan is read the way its team already works.
Basic and Premium plans
Basic plans, the ones inside a Microsoft 365 group or Teams channel, and Premium plans, formerly Project for the web, both come through one connection.
Sprints either way
A Premium plan’s own sprints come across as they are. A basic plan has none, so its buckets serve as sprints and progress counts tasks.
Phases and effort
A Waterfall project takes its phases from summary tasks on Premium, buckets or labels, or you map them by hand. Premium plans add effort from Duration or Effort.

Connecting Microsoft Planner
- A PMO manager selects Connect on Microsoft Planner in Portavi’s Integrations page.
- Microsoft asks for two consents in a row, one for Planner and one for the Dataverse that Premium plans live in. Neither needs a tenant admin, unless your organization requires approval for new apps.
- Create a project in Portavi, pick the Planner plan, and choose how it runs: Scrum, Kanban, Waterfall or Milestone.
Portavi syncs straight away, then on a schedule you set, as often as hourly within working hours, and whenever you select Resync. It reads up to 1,000 tasks per project.
Questions
- Does Portavi change anything in Microsoft Planner?
- No. It asks Microsoft Planner for read-only access and never creates, edits or moves anything there.
- Does everyone on Microsoft Planner need a Portavi account?
- No. Their work syncs from Microsoft Planner. Portavi seats are for the people running the work, and executives read for free.
- Can I connect Microsoft Planner alongside other tools?
- Yes. Starter connects two tools and Growth any number, and every project reports the same way whichever tool it lives in.
- Do we need Planner Premium?
- No. Without it, Portavi connects basic plans. Premium plans need a Planner Premium or Project license for the person connecting.
- Can Portavi read Planner’s custom fields?
- Not yet: Microsoft doesn’t make them available to any app.
